Set-up your Email Account

This section only applies to users with email accounts provided by Fifth Dimension and who collect email directly from Fifth Dimension.

In the first instance, please consult your company’s IT administrator.

Using an Email Client Programme

You will need a compatible email programme that supports POP3 and SMTP standards, such as:

  • Microsoft Outlook
  • Microsoft Outlook Express
  • Apple Mail

Configuration of accounts between email clients varies, but the following details will enable you to configure your email account successfully.

Server Type   POP 3

Your Name

Please use an identifiable name for your email account.

<firstname> <surname>

For example: John Smith

Email

This is the address recipients will see.  If this is not the same as the account you are using, your email will be blocked.

Your user name should be provided to you by your IT administrator

<username>@<domain>

For example: john@acme.com

Server Names

 

 

Incoming mail (POP3):

 

mail.<yourdomain>

for example: mail.acme.com

Outgoing mail (SMTP):

 

mail.<yourdomain>

for example: mail.acme.com

Logon Information

 

 

User Name

This is your user account name and will be provided to you by your IT administrator

<username>

Password

This will be provide to you by your IT administrator

More Settings

 

 

Mail Account

This is a reference by which you refer to this email account.  This is useful if you have more than one email account on your computer.

 

Organisation

The name of your organisation to help identify you to others

 

Reply E-mail:

This is the address that will be sent with your email for recipients to reply to. 

It is important that this is the same as your actual email

<username>@<domain>

For example: john@acme.com

Outgoing Server

 

 

Authentication

Please ensure that the following options are selected:

“My outgoing server (SMTP) requires authentication”

And

“Use same settings as my incoming mail server”

 

 

Using Browser based Email

Your website will have an administration section, normally indicated as:

<domain>/webadmin

For example: www.acme.com/webadmin

This will provide a link to access your email via the internet.

You will need your username and password to access your webmail. Please ask your IT administrator for these details if you do not have them.

Access Files via FTP

“FTP" stands for File Transfer Protocol and is a standard Internet protocol for transferring files between computer networks using the Internet. The benefits of using FTP rather than email include:

  • the ability to send files that might be blocked by email limits
  • the ability to handle large quantities of files
  • using a central resource for all users to access

At Fifth Dimension, it is common practice for us to set up specific project related FTP sites in order that our clients and related personnel, may access files related to the project including documents, graphics, video and audio.

Anonymous FTP

This allows users to access an FTP site without having to identify themselves. Fifth Dimension do not use this format for reasons of security.

You will therefore always be provided with a username and password to access a Fifth Dimension FTP site.

Host Address

This is the address of the FTP site and will either be in the form of a domain name, or possibly an IP address.

ftp://<domain>
for example: ftp://acme.com

or:
111.222.333.444

Username:

This will be provided to you by your IT Administrator (or in the case of an FD client, your FD Project Manager)

for example: john

Password:

This will be provided to you by your IT Administrator (or in the case of an FD client, your FD Project Manager)

for example: 73QZ45HL

Remote Directory

This is an optional setting and may not always be required.  Please check with your IT administrator or FD Project Manager

 

FTP using a Browser

In Internet Explorer 6, it is possible to access FTP sites via a browser. Type the host address into the browser address bar, i.e. ftp://acme.com

A pop-up dialogue box will then prompt you for the username and password to enter.

Once logged in, you will see a list of files and folders available, similar to Windows Explorer. You may transfer files to and from the FTP site by dragging and dropping them in the same manner as Windows Explorer.

In Internet Explorer 7 you can view the contents of the FTP site, but will not be able to copy files from or to the site; this must instead be done using Windows Explorer in one of the following ways:

  • Click the Page icon (with the drop down), and then click Open FTP Site in Windows Explorer
  • Click View (from the Menu bad) and then click Open FTP Site in Windows Explorer

You will again be prompted for the username and password. The FTP site will then function exactly like Windows Explorer.

FTP using an FTP Client

This is a quicker and more reliable method but requires that you have an FTP client programme installed on your computer. If you do not have one, details can be found on our Links page.

Once installed, create a new connection and name this accordingly. You will need the following details, provided to you by your IT administrator or FD Project Manager:

  • FTP Host Address
  • Username
  • Password
  • Remote Director (optional)

You should have two views available – a local view showing your computer and the remote view, showing the FTP site you are connected to.

You may now copy files and folders from one site to the other.
